Pay runs with CPF and SDL calculated

ALL PLANS

Set salary components and record pay changes with an effective date. Each pay run calculates CPF from the 2026 rate tables and the S$8,000 monthly Ordinary Wage ceiling, using each employee's CPF residency status. For permanent residents, you choose PR (Year 1), PR (Year 2) or PR (Year 3+), and the pay run applies the matching graduated rates; change it when the employee moves into the next year. Each run adds SDL, and records foreign worker levy as an employer cost, at indicative rates you can override for each person. Check every line before you finalise.

Payslips, sent in one go

Each payslip is a PDF that lists earnings, the employee's deductions and the employer's statutory costs for the pay month. Email a run's payslips in one go to every employee with an email address, an NRIC, FIN or passport number, and a date of birth on file.

Leave, claims, attendance and overtime

ALL PLANS

Set up Employment Act leave types, entitlements and public holidays, and approve or reject leave. Leave is counted in calendar days, so check any request that spans rest days or public holidays. Record expense claims with several items each, and approve or reject them. Keep attendance records, with overtime calculated from them.

Year end: IR8A and IR21

ALL PLANS

Generate IR8A working figures for each employee and year, with Appendix 8A for benefits-in-kind and Appendix 8B for share option gains. Record each IR21, fill it from Appendix 8A and 8B, and track it as filed. You file on myTax Portal, then mark each form submitted in the app.

Not covered: overseas income, splitting director's fees, gratuity and retirement payouts, and Section 45 withholding. The app suggests checking those with a tax adviser before you submit.

From employee records to payslips

  1. Add your employees, or import them from CSV or a desktop MassHR backup.

  2. Set each person's salary components and their effective dates.

  3. Create the pay run for the month.

  4. Check each person's CPF, SDL and foreign worker levy lines.

  5. Finalise the run.

  6. Email the payslips as PDFs.

  7. Download the CPF contribution summary and the salary payment file.

  8. Submit and pay CPF through CPF EZPay, and upload the payment file to your bank. (You)

Good to know

  • Payslips show the pay month. They don't show the date of payment, the start and end dates of the salary period, or overtime hours.

  • Expense claims don't store receipt images, and overtime has no approval step.

  • Employees can't log in to see payslips or apply for leave. Someone with HR access enters and approves them, and payslips reach staff by email.

  • Pay run screens offer a “CPF e-submission” menu. Its PAL.TXT file is marked DRAFT and hasn't been checked with CPF Board. Work from the contribution summary (CSV) and submit through CPF EZPay.

  • There are no employment contracts or onboarding tools, and no mobile app.

  • In this release, each employee's CPF share keeps cents instead of rounding down to the whole dollar, and a new age band's rates start about a year after the month CPF Board sets. Check the CPF lines for anyone who turned 55, 60, 65 or 70 in the past 12 months before you finalise.

  • In this release, self-help group fund deductions on payslips don't follow the funds' published tables. Check each one against the fund's table before you finalise.

Questions before you start

Which CPF rates does it use?

The 2026 rate tables, with the S$8,000 monthly Ordinary Wage ceiling. For permanent residents, you set whether they are in their first, second, or third and later year, and update it as they move on. The changes that start on 1 January 2027 for employees above 55 to 65 are not in the current release. In this release, check the CPF lines for anyone who turned 55, 60, 65 or 70 in the past 12 months, and each employee's share, which keeps cents.

Does it work out CPF on bonuses?

No. Pay runs treat all pay as Ordinary Wages and don't apply the Additional Wage rules, so work out CPF on bonuses separately.

Can employees log in to see payslips or apply for leave?

No. Payslips reach employees by email as PDFs. Leave and expense claims are entered and approved by someone with HR access.

Does it submit IR8A to IRAS?

No. It generates IR8A working figures with Appendix 8A and 8B, and does not create an AIS file. You file on myTax Portal, by 1 March 2027 for 2026 income, then mark each form submitted in the app.

Can it pay salaries?

No. It gives you a salary payment file (CSV) to adapt to your bank's bulk-payment format and upload to your bank.

Can I move from desktop MassHR?

Yes. In HR & Payroll, upload your MassHR desktop backup (.db) to import departments, employees, salary components and payroll history. Records already in MassAdmin are not changed.

Do employees count as users?

Only if you add them to the workspace as members. Employee records are unlimited on every plan.
